IT Contracting in Poland: What Companies Actually Need to Know in 2026

Strona główna » IT Contracting in Poland: What Companies Actually Need to Know in 2026

Many international companies still arrive in Poland with the same default assumption: if the role is important, it should be a permanent contract. However, a decision like that can slow things down and raise costs without improving the outcome, especially for specialised technology work that is project-based or still being defined.

As new companies enter the market, the question is no longer whether B2B contracting is available in Poland. It is when it makes more sense than a permanent hire in 2026, and what these companies need to understand before they start. The differences in speed, cost structure, risk and flexibility are significant, but they are also frequently misunderstood.

“The most common misconception is that contracting is only a short-term fix or a way to avoid employment obligations,” says Milena Gorka, Senior IT Recruitment Expert at Verita HR. “In reality, for the right roles it is often the cleaner and more predictable option — companies just need to see the full picture before they decide.”

Permanent vs B2B Contracting: A Clear Comparison

In Poland, companies typically choose between a standard employment contract (umowa o pracę) and a B2B contracting arrangement. The right choice depends on the role, the expected duration, and how much flexibility the company needs.

AspectPermanent EmploymentB2B / Contracting
Typical use casesCore team roles, long-term ownership, roles requiring deep company knowledgeProject-based work, specialised skills, fast start, testing a market or team
Time to startOften 4–8 weeks (notice periods, onboarding, medical check, health &  safety training)Often 1–3 weeks once terms are agreed
Cost structureGross salary + full employer ZUS contributions + benefitsDay rate (or monthly equivalent). Contractor covers their own social security (ZUS) and taxes
Notice period / flexibilityStatutory notice (usually 1–3 months)Defined in the contract; can be shorter and more flexible
Employment riskEmployer holds most obligationsContractor is responsible for their own status; company has less ongoing liability
Equipment & toolsUsually provided by the employerCan be provided by the company, contractor, or managed through the agency
Best forRoles expected to stay beyond 12–18 monthsSpecialists, defined projects, roles with clear deliverables

“Companies often assume permanent is the only option,” says Milena. “For many technology roles it is simply slower and more expensive without giving them better access to the people they need.”

Tax and Social Security Implications

The biggest practical difference is in how social security and tax payments are treated. On a permanent contract the employer pays the full employer portion of ZUS contributions and handles most of the administration. With B2B, the contractor is responsible for their own ZUS and income tax filings. This usually makes the all-in cost lower for the company, but it also means the company must be comfortable that the contractor is correctly set up.

Companies should not treat this as legal or tax advice. Rules can change, and the correct structure depends on the contractor’s situation and the nature of the work. The most frequent questions Verita HR hears are about total cost comparison and whether the company still has any residual obligations.

B2B is appropriate only where the relationship is genuinely that of independent contracting rather than disguised employment.

“Most companies just want to know the real monthly cost and whether the arrangement is clean,” says Milena. “Once they see the numbers side by side, the decision usually becomes clearer.”

How Verita HR Handles Contracting in Practice

Verita HR manages the operational side, so companies do not have to build the process themselves. This typically includes:

  • Preparing and managing the contractor agreement
  • Handling day-rate billing and invoicing
  • Coordinating equipment and hardware where the company wants it provided
  • Supporting onboarding and basic compliance checks
  • Acting as the main point of contact for both the company and the contractor during the engagement

Day rates are agreed upfront based on the role, seniority and market conditions. The company is billed according to the agreed model (usually monthly in arrears). Equipment can be supplied by the company, by the contractor, or arranged through Verita HR depending on the brief.

“The goal is to remove the administrative friction,” says Maciej Romasz, HR Business Co-ordinator at Verita HR. “Companies should be able to focus on the work the contractor is doing, not on contracts, invoices or laptop logistics.”

Where the Talent Is: Warsaw, Kraków and Remote

Supply varies by city and by the type of role.

  • Warsaw has the deepest pool of senior and specialist contractors, particularly in banking technology, data and higher-end engineering. Day rates are generally higher.
  • Kraków offers strong mid-to-senior talent, especially in software engineering, testing and some data roles. Rates are only slightly lower than Warsaw while quality remains high.
  • Remote has become normal for many contracting roles. A large share of experienced contractors will work fully remote or hybrid, which expands the available pool beyond the two main cities.

“For most technology contracting roles we can find people in both cities, but the rate and the speed of response still differ,” says Milena, who works across both markets. “Remote opens the search further, but companies still need to be clear about time-zone overlap and collaboration expectations.”

When Contracting Makes Sense (and When It Doesn’t)

Contracting tends to work well when:

  • The work is project-based or has a defined end point
  • The skill is specialised and hard to hire permanently in a short time
  • The company wants to move quickly or test a team before committing
  • The role does not require long-term institutional knowledge

It is usually a weaker fit when:

  • The person will own a core process for years
  • The role needs deep internal context that takes months to build
  • The environment is heavily regulated and prefers standard employment

One recent example involved a company that needed three experienced data engineers for a nine-month platform migration. Contracting allowed them to start within three weeks. A permanent search for the same profiles would have taken significantly longer and still carried the risk that the people would leave once the project finished.

What Companies Should Prepare Before Starting

Before launching a contracting search, companies should be ready with:

  • A clear description of the work and expected outcomes
  • A realistic day-rate range
  • Expected duration (even if approximate)
  • Decision on equipment (company-provided, contractor-owned, or agency-managed)
  • Availability of a technical interviewer and a decision-maker

The HR Projects team at Verita HR can help shape the brief, map the realistic market, and advise on rate levels before the search begins. This reduces the chance of going to market with expectations that do not match current supply.

IT Contracting in Summary

In 2026 the decision between permanent employment and B2B contracting in Poland is mainly a practical one. For the right roles, contracting is often faster to start, easier to scale, and more predictable in cost. The key is understanding the real differences in risk, administration and talent availability before the search begins.

Verita HR supports companies with both permanent recruitment and contracting across technology and finance roles. If you need a realistic view of availability and rates for a specific profile, the team can provide a current market read.
